Publicity report suggestion

Publicity report suggestion

The suggestion came up that the publicity section be changed. Right now, there is one list for all the publicity *for all shows.* This is easy to understand and use but there is an inherent flaw. The flaw is that the publicity cannot change. When the publicity is put into use, the different choices are often determined by what the promoter and marketing department need to collect.

For instance, they may have a newspaper ad for a single show. That newspaper ad would not apply to other shows, therefore, it should not be available to the other shows.

Another limitation is that the current system does not keep track of older shows well. Any changes made to the current publicity codes automatically make older publicity entries invalid.

The obvious solution is to have a separate set of publicity that is a permanent part of each show. This is do-able but there are some questions:
1. Will each show need a checkbox to use publicity? That way, the publicity switch would no longer be global.

2. If the default publicity for each show is built from the master list, what happens if the master list gets changed? Should each show have it's list automatically updated? Or, should each show be updated separately? For Jamye (who has 260 shows to maintain) this could be a major problem.

1. Publicity definitely should be separate for each show. As Bruce stated it is completely invalid after the promotion is done and you want to do a different radio promotion, tv, paper, etc.

2. A checkbox for each show could be in the edit a show page and would be easy enough to turn on or off.

3. I don't think there should be a MASTER publicity list to copy show to show. Simply make it work the same as copying ticket categories and prices from show to show. There is no MASTER list that would change things if you changed the master. Copying publicity from Show #1 to Show #2 would be all there is to do. Then you can go into the publicity for show #2 and update the unique publicity for that show. Show #1 stays the same and Show #2 gets edited as needed.

4. There also needs to be some tweaking on how to USE publicity. Currently I need to get a report or mailing list for everyone who ordered a subscription via telemarketing. Since we are limited in price codes, we have to track this in publicity. What I need is the ability to run a report choosing a series of publicity codes for a particular show/season package.

And Bruce...there are my thoughts!

Thank you Eric. Let's see what Dawn says.

If you need a report on 1 or 2 publicity codes, you can do it by getting a report by run of a show and copying it to another file. Of course, you do need to know the code number (on the other information tab when you edit a sale).

Can this report also contain the amount of sale, name of package, # of tickets, etc??
